Microsoft and Saving Files to Floppies

When saving documents to a floppy in Microsoft Office applications (Word, Excel, PowerPoint), you should first save the document to the hard drive and then use the [Send To] command to copy the document to diskette. When you save a document in a Microsoft Office application., a temporary file is also written prior to overwriting the existing document. If the diskette does not have enough room to store both the temporary file and original file, the Microsoft office application will error and not allow you to save your file.

Did you know that WordPerfect Saves the Last 10 Changes You Made in a Document.

WordPerfect's undo feature allows you to reverse editing changes made to a document, such as typing, deleting, moving, formatting, etc. By default, WordPerfect saves the last 10 changes you made to a document (10 is the default, you may increase this number to as many as 300) in its Undo feature.

These changes are stored with the document file, so they can be reversed when a file is opened up later.

Consequently, a document file given to a client, for example, could be examined to see the last changes made, simply by using the Edit, Undo feature ten times. If the document in question was tailored from a document used previously for another client, the Undo feature might reveal data from the prior client.

This setting also attributes to files that are large in size, when several pages have been deleted (the deleted pages are stored in the Undo feature).

To turn off this feature: Set the Undo feature so that it does not save undoable changes along with the text. Check your default setting (in all versions of WordPerfect for Windows) with this command: Edit, Undo/Redo History, then click the Options button to see if "Save Undo/Redo items with document" is selected. By deselecting this option, you will avoid this risk, though lose convenience of undoing changes made.

Warning: Attachments Breed Viruses.

Not only does email allow us to communicate with people all over the world, but it also let us share documents via email attachments. Email attachments are files sent along with an email message. An attachment can be any kind of file, including formatted word-processed documents, spreadsheets, databases, graphics, and even software.

Unfortunately, receiving email attachment is not without risk – attachments can contain computer viruses.

Virus Detection and Prevention Tips

Do not open any files attached to an email from an unknown, suspicious or untrustworthy source.

Do not open any files attached to an email unless you know what it is, even if it appears to come from a dear friend or someone you know. Some viruses can replicate themselves and spread through email. Better be safe than sorry and confirm that they really sent it.

Do not open any files attached to an email if the subject line is questionable or unexpected. If the need to do so is there always save the file to your hard drive before doing so.

Delete chain emails and junk email. Do not forward or reply to any to them. These types of email are considered spam, which is unsolicited, intrusive mail that clogs up the network.

Do not download any files from strangers.

Exercise caution when downloading files from the Internet. Ensure that the source is a legitimate and reputable one. Verify that an anti-virus program checks the files on the download site. If you're uncertain, don't download the file at all or download the file to a floppy and test it with your own anti-virus software.

When in doubt, always err on the side of caution and do not open, download, or execute any files or email attachments. Not executing is the more important of these caveats.
